Balloon Tree Productions (BTP, we, us, our) respects your privacy. This policy explains how we handle personal information in line with the Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs). It covers visitors to our website, our clients, the people we film, and the crew and contractors we work with.
The short version. We only collect what we need to do our work and run our business, we don't sell your information, and you can ask us what we hold and have it corrected or deleted.
1. Who We Are
Balloon Tree Productions Pty Ltd (ACN 613 449 004, ABN 49 613 449 004), a video production company at Suite 6, 166 Wellington Street, Collingwood VIC 3066. For any privacy question, contact us at info@balloontreeproductions.com or 03 9071 3070.
2. What We Collect
Depending on how you deal with us, we may collect:
- Contact and business details: name, business name, email, phone, postal address, role.
- Project information: briefs, scripts, brand assets, and anything you share to scope and deliver a job.
- Footage, audio and photographs of identifiable people captured during shoots.
- Billing information: invoicing details and payment records (we don't store full card numbers; payments are handled by our accounting and payment providers).
- Crew and contractor details: for those we engage, the information needed to book, brief and pay them.
- Website and enquiry data: what you submit through our forms, chat and booking calendar, and technical data (such as your IP address, device and the pages you view) collected by our website and the services described in clause 9.
3. How We Collect It
- Directly from you: enquiries, quote forms, calls, emails, meetings and contracts.
- During production: filming, recording and photographing at shoots.
- From third parties you've engaged with, such as referrers, casting agents, or a client who books us to film their staff or customers.
- Automatically through our website and the business tools we use.
4. Why We Collect and Use It
- To quote, plan, produce and deliver video, audio and photography.
- To manage bookings, invoicing and our client relationships.
- To engage and pay crew and contractors.
- To respond to enquiries and provide support.
- To promote our work in our showreel, website, social channels and proposals, where we have the right to do so (see clause 6).
- To understand how our website is used, improve it, and measure and run our advertising (see clause 9).
- To meet our legal, tax and insurance obligations.
If we ever want to use your information for a materially different purpose, we'll ask first or make sure you'd reasonably expect it.
5. Filming and Recording People
Our work involves capturing identifiable people on camera and in audio.
- Where practical, we use a talent or appearance release so people understand how their image and voice will be used.
- When we film at a client's request, the client is responsible for the consents of their own staff, customers and visitors. We'll work with them on this.
- For sensitive stories (for example case studies involving health or aged care), consent is led by the person and their family, never by production convenience.
- If you appear in our footage and want to discuss its use, contact us.
6. Using Your Footage to Promote Our Work
Unless we've agreed otherwise in writing, we may show finished work and behind-the-scenes material in our portfolio, showreel, website, social channels and proposals. If a project is confidential or embargoed, tell us and we'll hold it. Clients and featured people can ask us to remove their material from our promotional use, and we'll honour reasonable requests.
7. Who We Share It With
We don't sell personal information. We share it only as needed to run the business:
- Crew, contractors and collaborators working on your project.
- Service providers who help us operate: accounting (Xero); our CRM, enquiry forms, booking calendar and chat (GoHighLevel); project management (Basecamp); email and cloud storage (Google Workspace); website hosting (Cloudflare); and the analytics and advertising services described in clause 9.
- Professional advisers, and authorities where the law requires.
Some of these providers, including Google, Microsoft, Meta, Cloudflare and GoHighLevel, may store or process data overseas, mainly in the United States. Where they do, we take reasonable steps to ensure your information is handled consistently with the APPs.
8. How We Store and Protect It
We hold information in secure cloud services and on protected devices, and limit access to those who need it. We take reasonable steps to protect it from misuse, loss and unauthorised access. We keep footage and project files for as long as we need them for the project, our records, and reasonable archival and portfolio use, then dispose of personal information we no longer need.
9. Our Website, Cookies and Analytics
Our website is hosted by Cloudflare and uses the services below. Each receives technical information when you visit, such as your IP address, browser and device details, and the pages you view, and several use cookies or similar technologies.
- Google Analytics tells us how many people visit, where they come from and which pages they use. See how Google uses information from sites that use its services. You can opt out with Google's browser add-on.
- Google Ads and the Meta pixel (Facebook and Instagram) measure whether our ads lead to visits and enquiries, and may be used to show our ads to people who have visited our website. You can manage the ads you see in Google's My Ad Center and in the ad preferences of your Facebook or Instagram account; Meta explains how it uses this data in its Privacy Policy.
- Microsoft Clarity shows us how visitors use the website through behavioural metrics, heatmaps and session replays (clicks, scrolling and mouse movement), so we can see what works and fix what doesn't. Microsoft and we collect this data with first- and third-party cookies and other tracking technologies. For how Microsoft collects and uses your data, see the Microsoft Privacy Statement.
- GoHighLevel runs our enquiry forms, discovery call booking calendar and chat. What you enter goes into our CRM so we can reply to you.
- YouTube (Google) hosts our videos. Video thumbnails load from YouTube, and the player loads only when you press play, in YouTube's privacy-enhanced mode.
- Google Maps shows our location at the bottom of each page.
